# Dimark Portal Account Deletion Policy

## 1. About this policy

This Account Deletion Policy explains how accounts associated with the **Dimark Portal** application can be deleted or deactivated and what happens to information associated with those accounts.

Dimark Portal is operated by:

Dimark Portal is a business application used by authorised Dimark employees, sales representatives, managers and office staff.

Customers do not normally create or operate Dimark Portal user accounts themselves.

## 2. Dimark Portal user accounts

Dimark Portal user accounts are provided to authorised Dimark personnel for legitimate business purposes.

A Portal user may request deletion or deactivation of their Dimark Portal account by contacting:

The request should include sufficient information for Dimark to identify the relevant Portal account.

Where appropriate, the account will be disabled or deleted and access to Dimark Portal will be removed.

Dimark may also deactivate or delete Portal accounts when:

* an employee or representative leaves Dimark;
* access is no longer required for their role;
* an account has been replaced;
* access is withdrawn for security or administrative reasons; or
* Dimark determines that the account should no longer remain active.

## 3. What happens when a Portal account is deleted

Deleting or deactivating a Dimark Portal user account removes the user's ability to sign in to and use Dimark Portal.

Where applicable, locally stored authentication credentials and application data associated with that user's access will be removed or become inaccessible in accordance with Dimark's security and device-management procedures.

Deletion of a Portal login account does **not automatically delete business records** that the user created, submitted, approved or handled while acting on behalf of Dimark.

For example, Dimark may retain:

* customer registration records;
* applications for trade accounts;
* agreements and personal guarantees;
* signatures;
* identification and supporting documents;
* audit records;
* credit-assessment records;
* fraud-prevention records;
* transaction and account records;
* records showing who submitted or processed an application; and
* other information Dimark is required or entitled to retain.

These records belong to Dimark's business and compliance records rather than to the individual Portal login account.

## 4. Customer trade accounts

A Dimark customer trade account is different from a Dimark Portal user account.

Customers who wish to close or terminate their Dimark trading relationship should contact Dimark directly at:

Closing a customer trade account does not necessarily mean that all personal or business information associated with the account will immediately be deleted.

Dimark may need to retain certain records for purposes including:

* accounting and tax obligations;
* administration of outstanding balances;
* credit and fraud-prevention requirements;
* customer due diligence;
* contractual obligations;
* legal or regulatory requirements;
* establishment, exercise or defence of legal claims; and
* maintaining appropriate business and audit records.

## 5. Requests to delete personal information

An individual may separately ask Dimark to delete personal information held about them where they have a right to do so under applicable data-protection law.

Please state that your request relates to the deletion of personal information and provide enough information for Dimark to identify the records concerned.

The right to deletion is not absolute.

Dimark may continue to retain information where retention is necessary or permitted, including where the information is required:

* to comply with a legal obligation;
* for accounting, tax or regulatory purposes;
* to administer an existing agreement, account or guarantee;
* to recover or verify outstanding amounts;
* for fraud prevention or credit-risk purposes;
* for the establishment, exercise or defence of legal claims; or
* for another lawful business purpose.

Where Dimark cannot delete particular information, we will retain only the information that remains necessary and will restrict or securely dispose of information when it is no longer required.

## 6. Registration information stored on devices

Dimark Portal is designed to work offline.

Customer registrations, supporting documents and signatures may therefore be temporarily stored within the application's private storage on an authorised Dimark device while a registration is being completed or awaiting submission.

Following successful submission, the registration is restricted from normal access by the sales representative.

Submitted registration information stored locally on the device is normally removed automatically after Dimark's configured local retention period.

The current standard local retention period is **30 days following successful submission**, although information may be removed earlier where appropriate.

Deletion of information from an iPhone or iPad does not necessarily delete corresponding records held within Dimark's central systems where Dimark remains required or entitled to retain those records.

## 7. Identity verification

Before deleting an account or responding to a request involving personal information, Dimark may need to verify the identity of the person making the request.

This is to help prevent unauthorised deletion of accounts or disclosure, alteration or deletion of information belonging to another person or business.

## 8. How long deletion requests take

Dimark will review account-deletion and personal-information deletion requests as soon as reasonably practicable.

Where a request is made under applicable data-protection law, Dimark will respond within the time limits required by that law.

Some information may remain in secure backups for a limited period before being automatically overwritten or deleted as part of Dimark's normal backup and retention processes.
